3. General Refund Principles
Our programs involve advance planning, facilitator scheduling, and material preparation. Refund eligibility depends on the timing of the cancellation request relative to the program start date and the amount of preparatory work already completed.
All refund requests must be submitted in writing to hello@gracefuliacartil.world with the subject line "Refund Request" and include the organisation name, program tier, booking reference (if applicable), and reason for the cancellation.
Refunds are processed to the original payment method unless otherwise agreed in writing. Processing times may take 5 to 10 business days after approval, depending on your financial institution.
4. Program Cancellation by Client
4.1 Cancellation More Than 30 Days Before Program Start
If your organisation cancels a booked program more than 30 calendar days before the scheduled start date, you are eligible for a full refund of all fees paid, minus any non-refundable deposits specified in your program agreement.
4.2 Cancellation 15 to 30 Days Before Program Start
Cancellations received between 15 and 30 calendar days before the program start date are eligible for a refund of 75% of the total program fee. The remaining 25% covers preparatory costs including facilitator scheduling, material preparation, and administrative processing.
4.3 Cancellation 7 to 14 Days Before Program Start
Cancellations received between 7 and 14 calendar days before the program start date are eligible for a refund of 50% of the total program fee. At this stage, significant resources have been allocated to your program delivery.
4.4 Cancellation Less Than 7 Days Before Program Start
Cancellations received less than 7 calendar days before the program start date are not eligible for a refund. However, you may request to reschedule the program to a later date within 6 months, subject to facilitator availability and a rescheduling fee of 15% of the program fee.
4.5 Cancellation After Program Start
Once a program has commenced, no refunds are available for remaining sessions. If exceptional circumstances prevent program continuation, contact us to discuss possible rescheduling options for remaining sessions.
5. Program Cancellation by Gracefuliacartil
In the unlikely event that we need to cancel a program due to facilitator unavailability, insufficient enrollment, or circumstances beyond our reasonable control, you will receive one of the following options:
- A full refund of all fees paid for the cancelled program
- Transfer of your enrollment to an alternative program date at no additional cost
- Credit toward a future program of equal or greater value within 12 months
We will notify affected organisations as soon as possible and aim to provide at least 14 days notice before a scheduled program start date, except in cases of force majeure where shorter notice may be unavoidable.
6. Consulting and Advisory Services
Consulting sessions and advisory services that have not yet been delivered may be cancelled and refunded according to the following schedule:
- Cancellation more than 48 hours before a scheduled session: Full refund
- Cancellation 24 to 48 hours before a scheduled session: 50% refund
- Cancellation less than 24 hours before a scheduled session: No refund
- No-show without prior notice: No refund
Consulting packages covering multiple sessions are refunded on a pro-rata basis for undelivered sessions, minus a 10% administrative fee, if cancelled before the package commencement date.
7. Educational Products
Digital educational products, including downloadable guides, workbooks, and resource packs, are generally non-refundable once access has been granted or materials have been delivered. Exceptions may be made in cases of:
- Technical issues preventing access that we are unable to resolve within 5 business days
- Material errors or defects in the delivered product
- Duplicate purchases made in error within 48 hours of the original purchase
Physical educational materials may be returned within 14 days of delivery if unopened and in original condition. Return shipping costs are the responsibility of the purchaser unless the return is due to our error.
8. Consumer Guarantees Act 1993 (New Zealand)
Nothing in this Refund Policy limits your rights under the New Zealand Consumer Guarantees Act 1993 where applicable. If our services fail to meet guarantees of acceptable quality, fit for purpose, or match their description, you may be entitled to a remedy under that Act regardless of the terms stated above.
If you believe a service guarantee under the Consumer Guarantees Act has not been met, please contact us with details of the issue so we can work toward a fair resolution.
9. Dispute Resolution
If you are dissatisfied with a refund decision, you may request a review by contacting us with additional supporting information. We will review your case within 10 business days and provide a written response.
If a resolution cannot be reached directly, you may refer the matter to a relevant dispute resolution scheme or seek advice from the New Zealand Commerce Commission or Citizens Advice Bureau.
10. Non-Refundable Items
The following items and fees are generally non-refundable under all circumstances:
- Non-refundable deposits explicitly stated in program agreements
- Third-party venue hire costs already committed on your behalf
- Custom-developed program materials created specifically for your organisation
- Travel expenses incurred by facilitators for on-site delivery
- Administrative processing fees for payment plan arrangements
11. Partial Program Delivery
If a program is partially delivered before cancellation (for example, 4 of 8 weeks completed), refunds are calculated based on the pro-rata value of undelivered sessions only, subject to the cancellation timing rules in Section 4.
Partial refunds for mid-program cancellations require mutual agreement between Gracefuliacartil and the enrolling organisation and are documented in writing.
12. Payment Plan Arrangements
Organisations enrolled in payment plans who cancel their program are responsible for fees associated with services already delivered. Outstanding balances for completed sessions are due upon cancellation. Prepaid amounts for future undelivered sessions are refunded according to the schedule in Section 4.
13. How to Request a Refund
To initiate a refund request, please send an email to hello@gracefuliacartil.world including:
- Organisation name and contact person
- Program name, tier, and scheduled dates
- Date of original payment and payment method
- Reason for the refund request
- Preferred resolution (refund, credit, or rescheduling)
We acknowledge refund requests within 2 business days and aim to process approved refunds within 10 business days.
14. Changes to This Policy
We may update this Refund Policy from time to time. Changes will be posted on this page with an updated revision date. Refund requests are evaluated against the policy in effect at the time of the original purchase or enrollment.
